Let's Talk Venues!

As wedding coordinators, we know you want to make your big day unforgettable, and choosing the right venue is the first step on everyone’s To-Do list. But finding the perfect spot to say “I Do” can be stressful. Budget, style, and guest count: a lot goes into choosing a venue. Here are some tips that will hopefully make it easier.

Start the search early! Venues will often book themselves over a year in advance.  After getting engaged, finding the venue should be the first thing on your list.  Lesser-known venues, such as gardens, historical sites, national parks, and breweries, will be more likely to have dates available within six months to a year of your desired date.  They are also more likely to fall within your desired budget.

There are lots of questions to ask while choosing your venue.  Does the location match your style?  Did you envision an elegant ballroom, a rustic barn, a romantic garden, or a beachfront paradise? Look for venues that naturally align with your style, making bringing your dream wedding to life more effortless.  Also, consider your guest count.  Find a space that comfortably accommodates your anticipated guest count, allowing everyone to celebrate and mingle easily. You don't want your loved ones to feel cramped or lost in a vast space. Traffic, wheelchair accessibility, proximity to hotels and airports, and other guest accommodations are essential considerations when choosing your site.

Making sure you stay within your budget is the most crucial part of choosing a venue.  If you’ve found the perfect location, but it’s outside your price range, there are still ways to save money.  Picking a wedding date during off-peak seasons or on a weekday can significantly lower venue costs.  Also, look for All-in-One Packages. Many venues offer all-in-one packages and bundling services like catering, photography, and even accommodation. These packages often come at discounted rates, ensuring you get the most bang for your buck while simplifying the planning process.  Engage in conversations with the venue managers and share your budget constraints. They might have flexible pricing options or alternative spaces within their property that align with your vision.

When you visit potential venues, don't be afraid to ask questions! Inquire about availability, pricing packages, any hidden costs, and what's included in the package. Ask if you can hire outside vendors, bring in your own decorations and food, and if there are any restrictions you should know about. The more information you gather, the better you can decide if the venue fits your special day. Also, pay attention to the professionalism displayed during your venue tour. Is the staff attentive, knowledgeable, and accommodating? Do they provide a warm and welcoming experience? A venue with a dedicated team ensures smooth planning and execution, reducing stress and allowing you to enjoy your big day to the fullest.

Feel free to reach out if you need any guidance or have questions! Happy venue hunting!
